This is the part you bought the software for. Open Takadar on a Monday morning and the debtor list is already built, down to the family and the amount, instead of your bursar reconciling a bank statement against an exercise book until lunchtime.

  • Set fees by class or student by student, and attach a discount for siblings, staff children or a scholarship without rewriting the whole fee plan.
  • See what you have collected and what is still outstanding on any day of the term, by class or by student.
  • Issue a numbered receipt on every payment - one the parent cannot lose and you can trace years later.

Results

Report cards that come out on time, in the format your parents expect.

Scores go in against your weighting, the arithmetic is done for you, and the report card is either printed for the whole class or waiting in the parent portal. Nobody sits up on the eve of resumption adding columns.

  • Enter CA and exam scores against your own weighting, and override that weighting for a class that needs a different split.
  • Get the class average, the average for each subject and every student’s position in class worked out for you.
  • Print report cards for a whole class in one job, or publish them to the parent portal instead of handing out paper.
  • Carry averages forward across the three terms of the session, so the cumulative figure is ready before you need it.
  • Produce a transcript for a student who left four years ago, out of the records you already hold.
  • Grade every subject against the bands you define yourself, so the letters on the report card are the ones your parents already read.

Attendance

The register, marked in class, on the phone the teacher already has.

A register that is filled in at the end of the day is a guess. Marked in the room, it tells you who is missing while you can still do something about it - and it is on the child's record from that moment, for the guardian to see and for you to answer for.

  • Let the form teacher mark the register in class on the phone in her hand, not from a paper list at four o’clock.
  • The register is marked in class. Absences are recorded against the child’s record the moment it is submitted, and the guardian sees them in the parent portal.
  • See the whole school’s attendance by mid-morning, class by class, without ringing round for numbers.
  • Keep staff attendance on the same record as the students’, so lateness is a figure you can look up.
  • Post the day’s diary entry and the class notice in the same sitting as the register.

Be clear about what that means: the portal is where a guardian looks, not something that reaches out to her. SMS is on the roadmap and is not live yet, so Takadar does not text or ring anybody on your behalf - it puts the absence on the record the moment the register is submitted, instead of at closing time.

Parents

Answer the questions before the phone rings.

Most of what a parent calls your office about is a balance, a mark or a date. Put all three where the parent can reach them and your bursar spends the morning collecting fees instead of reading them out.

  • Parents use the parent portal to see fees, attendance and results. SMS is on the roadmap and is not live yet.
  • Send one notice to a class, an arm, or every parent in the school.
  • A reminder lands in the guardian’s portal on its own for any child with an instalment falling due in the next week - nobody has to remember to raise it.
  • Give a guardian who has no login one, from the guardian record you already hold, so the portal is reachable on any phone with a browser.
  • Log every complaint and request with a status, and keep who resolved it and when, so nothing dies unanswered in a chat thread.

Everything above happens in the portal. SMS is on the roadmap and is not live yet, so nothing here depends on a text message arriving, and no plan is sold with a message allowance attached. The naira pricing for each plan is published in full, so you can work out the bill before you commit.

Students

One record per student, from first enquiry to transcript.

A child who enquires in June and leaves in SS 3 should be one record the whole way, not a form in a file, a name on a class list and a row in somebody's spreadsheet.

  • Move an applicant from first enquiry through assessment to admitted, with every status change stamped and kept.
  • Hold guardians, phone numbers, class and admission number on one record, so nobody keeps a private copy in a notebook.
  • Import your existing student list straight from a spreadsheet instead of typing it all in again.
  • Promote a whole class into the next year in one action at the end of the session.
  • Set the year up once - the session and its three terms, your classes, arms and subjects - and work from it until you close.
  • See who teaches what: every class and subject carries the teacher assigned to it, and the form teacher is named on the class.

Every change of status on an application is written down as it happens, so you can see who moved a candidate to offered, and when, long after the admission season closes.

Operations

The parts of the school that are not in a classroom.

Buses, beds and a second campus are where the money quietly leaks and the arguments start. They sit on the same records as everything else, so you are not running a separate register for the bus and a separate ledger for the hostel.
