Start with one record for every balance

Set the fee plan, assignment, instalments, and payment history against the same student record. A bursar should not have to reconcile a notebook, a bank statement, and a separate spreadsheet before answering a parent.

Treat a payment as confirmed only after verification

Cash and bank transfers need the school’s own approval process. Online payments should be checked by the payment provider before the student balance changes. Keep the payment reference with the record so a delayed confirmation can be recovered.

Give every successful payment a numbered receipt

A parent needs proof they can retrieve later. Issue a numbered receipt only once the payment has been confirmed, and make it available from the payment record rather than asking staff to recreate it by hand.

Review what remains outstanding every week

Use the same list to see who owes, which instalment is late, and what has already been paid. This lets finance and school leadership act from one shared picture before the next collection day.
